PHASE I - PLANNING
During the planning stage, Relocation Advisory Services integrates timing, logistics and detail to lay a foundation for the entire job. We provide the specialized knowledge and the planning structure so that you are in control from the very beginning.

1. Define Objectives
In the planning phase, RAS will work with the client to produce a clear statement of objectives. This "mission statement" will communicate the goals of the project, begin to outline the resources required, and contain the benchmarks for evaluating and guiding the project's path. The statement will lay out important milestones and estimated project completion dates to set the stage for realistic scheduling and appropriate budgeting. It will define the roles, tasks and responsibilities of all the agents in the moving process: in-house facilities managers, designers, architects, information technology consultants, the move contractor, or other professionals who may be involved.
2. Visit Sites
RAS will visit the firm's origin and destination, designing a transportation and accessibility plan that incorporates distance factors, building management rules, required security, elevator capacities and availabilities; staging and debris removal.

3. Conduct Survey
A physical survey will be conducted to determine the project's scope of work, including: a full inventory of the types, sizes and quantities of existing furniture; a calculation of the load factors; necessary materials (i.e., cartons, bins, conveyors, masonite, etc); manpower; vehicles; building protection; mechanical equipment; and supervision at the origin and destination. During the survey process, RAS will review with the client not only what items will be moved, but what will be sold, stored, donated or discarded. Making these decisions at this juncture will reduce costs down the line.
4. Manage Logistics
Together with the project team, RAS will establish a project schedule, tailoring a move plan that shows the sequence of events that must be accomplished within the allotted time frame At the heart of the plan will be a time frame and logistics for phases of activity by location, floor and department, which provide for flexibility without cost implications.

5. Draft Move Budget
Organizing the data collection in the physical survey, RAS will develop a preliminary cost estimate for the company's objectives. This forecast will anticipated expenditures, from professional fees to the physical move, giving the client realistic and achievable numbers at the outset. Providing a comprehensive cost picture at this early stage gives managers an opportunity to balance the relocation's impact within the overall financial plan. Knowing that costs are less or more than expected helps the firm execute informed decisions about its other facility expenses, for example, whether to modify or expand plans to purchase new office furniture.
